How to Plan a Behavioral Health Data Migration

Data migration is often the highest-risk part of adopting a new platform. A structured plan protects data quality and timelines.

1. Scope the data Decide what must migrate (active clients, histories, documents) versus what can be archived.

2. Map fields Map source fields to the new system, including structured items like diagnoses, medications and addresses. Interoperability standards such as FHIR can accelerate this.

3. Cleanse before you move Deduplicate, fix formatting and resolve missing required values in the source first.

4. Validate & test Migrate a sample, validate against the source, then run a full test load before go-live.

5. Plan go-live readiness - Confirm access roles and permissions - Train staff on the new workflows - Keep the legacy system read-only during transition

Migration timing depends on scope, data quality, integrations, testing and staff availability — build a project-specific schedule rather than assuming a fixed timeline.
